What you will do

We're looking for a dynamic Fleet and Facilities Operations Administrator to manage our vehicles and facilities. You’ll handle daily operations, ensure safety, and maintain efficiency. Your main tasks will include scheduling maintenance, managing vendors, and optimizing our resources. You’ll be the key link between our drivers and service providers, driving operational excellence.

Your mission? Keep our fleet and facilities safe, efficient, and cost-effective to support our business and minimize downtime.

Responsibilities

Fleet

  • Manage vehicle acquisition, maintenance, and disposal.
  • Conduct regular inspections to ensure safety and functionality.
  • Keep detailed records of maintenance and expenses; share insights with management.
  • Handle insurance and emergency plans.
  • Ensure all vehicles meet licensing and regulatory requirements.
  • Perform audits for compliance and maintain necessary documentation.
  • Collaborate on fuel and labor expenses and monitor vehicle performance.

Facilities

  • Oversee facility operations, ensuring quality and minimal disruption.
  • Maintain cleanliness, security, and readiness of all spaces.
  • Manage maintenance, landscaping, and utility services.
  • Coordinate repair projects and vendor relations.
  • Support purchasing of materials and supplies.
  • Foster a safety culture and provide training for a safe workplace.
  • Respond to employee requests and resolve facility issues.
  • Monitor office supplies and handle maintenance needs.

Additional Responsibilities

  • Help onboard new employees and provide safety training.
  • Work with leadership to improve workflows and processes.
  • Develop and manage budgets for fleet and facilities.
  • Negotiate with vendors and identify cost-saving opportunities.
  • Ensure compliance with safety and regulatory standards.
  • Build strong vendor relationships for effective service delivery.
  • Collaborate on training and emergency planning.

Minimum Qualifications

  • 2 years of fleet management or automotive experience.
  • Strong collaboration, analytical, and communication skills.
  • Proficient in Microsoft Office and fleet management software.
  • Understanding of mechanical trades and safety regulations.
  • Ability to manage multiple projects in a fast-paced environment.
  • Excellent negotiation and problem-solving skills.

Education

  • High school diploma or G.E.D. with relevant coursework in construction maintenance or automotive repair.

Licenses

  • Valid driver’s license with a clean record.

Work Environment & Schedule

  • On-site with occasional travel (10-25%) for field visits in California.
  • Physical demands include effective communication, standing or walking for extended periods, lifting up to 50 pounds, and adapting to various environmental conditions.

Pay: $26.44 - $36.06 per hour

Expected hours: 40.0 per week

Experience

  • Fleet management: 2 years (Preferred)
  • Vehicle maintenance: 2 years (Preferred)
